How we collect your information We collect information through the following channels: - Directly from guests: when you make a booking, check in or interact with the property portal. - From property staff: when they enter booking details, rate plans or room inventory into the Flip Direct dashboard. - From integrated systems: bookings and rates pulled from your existing PMS (property management system) or channel manager. - Automated collection: via cookies and server logs when you interact with our website or web-based applications. 4. Disclosure of your information We may share your information with: - The specific property you are interacting with (as the primary controller of guest data). - Your PMS or channel manager (when integrated by the property). - Payroll/accounting software providers (when integrated by the property). - Third-party service providers, agents or referral partners assisting our business operations. - Law enforcement or regulatory bodies when required by Australian or New Zealand law. 6. Cross-border data transfers Flip Direct stores and processes data primarily within Australia. Where property operations involve cross-border activity between Australia and New Zealand, data may be transferred between these jurisdictions. Data retention - Guest/booking data: retained for the period required by the property for business operations, typically 2–7 years depending on tax and legal requirements. - Staff/payroll data: retained as required by relevant employment and taxation laws in Australia and New Zealand. - Usage/analytics data: retained for as long as necessary to provide, improve and secure our services, after which it is anonymised or deleted. 8.
